One source of truth across twelve branches
Add branches to a business and the numbers multiply faster than the stores.
By the time a group reaches twelve locations, head office is usually reconciling twelve slightly different versions of the same week.
In this article:
How the versions appear
Each branch starts with sensible local habits: its own spreadsheet for stock, its own way of recording returns, a till that exports to a folder. None of it is wrong on its own. Put twelve of them together and head office spends the first week of every month turning local habits into one set of figures.
What a single data model means
One source of truth is a practical arrangement. Every branch records sales, stock movements and purchases into the same system, in the same structure, as they happen. Point of sale, inventory, purchasing and accounts read from that one record rather than exporting to each other.
It is the design choice at the centre of ERPGo, our own business operating system, where project management, accounting, HR, CRM and point of sale share a single data model.
If two reports can disagree, eventually they will, and someone will spend a day finding out why.

What changes day to day
- Stock transfers between branches are visible to both sides the moment they are sent.
- Head office sees yesterday's sales by branch without asking anyone for them.
- Month-end becomes a check rather than a reconstruction.
- A price change reaches every till at once.
Local freedom, central record
Branch managers often worry that one system means losing control. It should not. Local teams still run their own rosters, promotions and suppliers where the business allows it. The difference is that their decisions are recorded in the same place everyone else can see.
Rolling it out
Twelve branches should not go live on the same day. Start with one representative branch, run it in parallel until the numbers match, fix what the pilot reveals, then roll out in small groups. The first branch takes the longest. The last few take days.
